About the role: 

Healthscope is seeking a full-time Enterprise PM Practice Associate to help our Project Managers and initiative owners deliver projects effectively across the organisation. Reporting to the PM Practice Manager, you will be close to the day-to-day work - coordinating inputs, following up actions, tracking milestones and dependencies, maintaining risks and registers, supporting suppliers, and preparing clear governance and management information.

Alongside this hands-on delivery support, you will support Healthscope’s PPM toolset with primary responsibility for Microsoft Planner and related Microsoft 365 components and help improve the templates, processes and methods used by the project management practice. The role will suit someone who enjoys bringing structure to complex work, solving practical problems and making it easier for others to deliver.

You will join an enterprise project management practice supporting projects and programs across Healthscope. The team is focused on practical delivery: providing useful structure, clear information and fit-for-purpose tools and governance that help teams get work done.


Key Responsibilities:
 

  • Keep delivery activity organised by tracking schedules, milestones, dependencies, resources, risks, issues and actions, and following up agreed commitments
  • Work closely with Project Managers, initiative owners, business and clinical stakeholders, technical teams and suppliers to coordinate inputs and keep delivery on track
  • Maintain accurate project and portfolio information, including plans, registers, decision logs, approval records and supporting documentation
  • Prepare clear governance papers, management reports and briefing material that highlight progress, risks, exceptions and decisions required
  • Coordinate supplier and contractor inputs and escalate material changes to cost, timing, scope or commitments for management review
  • Administer and support Microsoft Planner and related Microsoft 365 PPM components, including Teams, SharePoint, Microsoft Lists, Power Automate and Power BI
  • Configure and maintain plans, templates, permissions, workflows, integrations and reporting structures, and provide first-line support for user and process questions
  • Support onboarding, training and adoption, and identify practical improvements to usability, data quality and management reporting
  • Help improve project management frameworks, templates and ways of working so they are consistent, scalable and practical for delivery teams


What you will bring: 
 

  •  A relevant tertiary qualification in project management, business, information technology or a related discipline, or equivalent industry experience 
  •  Project management certification such as PMP, PRINCE2 or AgilePM is also highly regarded
  •  Experience in a hands-on project, program or portfolio coordination, PMO or governance role within a medium to large, complex organisation, preferably in healthcare, technology or another regulated service environment
  • Strong organisation and follow-through, with the ability to keep multiple activities, actions, risks and dependencies moving at the same time
  • Confident communication and stakeholder skills, with the ability to work constructively with Project Managers, business and clinical stakeholders, suppliers, technical teams and senior leaders
  • Strong analytical and problem-solving skills, including the ability to make sense of delivery information, identify issues and produce clear management reporting
  • Hands-on experience with Microsoft Planner or a comparable PPM/project delivery tool; experience administering Planner in an organisational environment is highly regarded
  • Working knowledge of Microsoft 365 tools such as Teams, SharePoint, Microsoft Lists and Power Automate; Power BI experience is an advantage
  • Experience working with project templates, workflows, permissions, data and reporting, and an appreciation of good data quality and access controls
  • Practical knowledge of project delivery approaches such as Agile, waterfall or hybrid methods and the governance needed to support them   .
  • A continuous-improvement mindset and the ability to turn delivery needs into simple, workable improvements to tools, templates and processes
  • Sound judgement, attention to detail and resilience in a changing environment
