We are seeking a motivated and friendly Front of House Receptionist to join our dynamic team 2 days a week (equivalent to 15.2 hrs per week). As the first point of contact for our patients, you will play a key role in creating a welcoming and efficient atmosphere within our Day Surgery unit. The successful candidate will provide exceptional customer service, handle administrative duties, and assist in ensuring the smooth running of our front office operations. 

Key responsibilities

  •       Greet and check-in patients, ensuring a positive and professional first impression.
  •          Answer incoming calls, address inquiries from both patients and their families.
  •          Manage patient data and medical records, ensuring accuracy and confidentiality.
  •          Coordinate with medical and administrative staff to ensure seamless patient flow.
  •          Maintain the reception area, ensuring it is clean, organized, and welcoming.
  •          Assist with general office administration tasks as required.
  •          Comply with all privacy regulations and policies.
  •          Ensuring effective management of all patient admissions and discharges in the inpatient management system.
  •          Providing administration support to the nursing staff.

Knowledge, skills and attributes:

  • Previous experience in a customer service or receptionist role, ideally in a medical or healthcare setting. 
  • Demonstrated commitment and provision of exceptional customer service.
  • Strong communication skills with the ability to interact effectively with patients, families, and staff.
  • Excellent organizational skills and attention to detail.
  • Ability to multi-task and remain calm under pressure.
  • Proficiency with office software and booking system and experience of electronic inpatient management systems such as WebPAS and EMR (experience with any medical software is an advantage).
  • A professional, compassionate, and friendly demeanour.
  • Understanding of patient confidentiality and privacy laws.
  • Knowledge of basic computer applications including Microsoft Office, Excel and Internet.
  • Understanding of medical terminology.
  • Good communication skills and could liaise with Bookings and Admission, as well as Theatre reception.
  • Demonstrated ability to work well within a team
  • A proven professional phone manner.
